Privacy Policy for OptimalHR Mobile App

This Privacy Policy governs the manner in which OptimalHR ("we," "our," or "us") collects, uses, maintains, and discloses information collected from users (referred to as "you" or "your") of the OptimalHR mobile application ("App") in accessing self-service features of OptimalHR system ("System").
1. Information We Collect
As an employee using the OptimalHR mobile application, your user account is automatically created during the process of setting up your employee profile by your employer or their designated HR personnel. The information required for your user account includes your work email address, given name, and family name. Your employer or their designated HR personnel collects and provides this information to us solely for the purpose of establishing and managing your user account within the App. The App does not directly collect this information from you. Once your account is created, the OptimalHR system sends a welcome email to the provided email address containing your username and a temporary password for your initial login. Upon your first login to the App, you will be prompted to change the temporary password for security purposes before accessing the System further.
Additionally, when your employer or HR personnel creates your individual employee profile within the System, further details may be collected, including but not limited to:
- Personal identification details such as date of birth, place of birth, etc.
- Contact information
- Employment details
- Profile picture (if provided)
- Other relevant employment-related information necessary for HR functions.
The details gathered for the employee profile are utilized to create a comprehensive record of your employment within the OptimalHR System and are not directly utilized for the App's user account setup.
2. Use of Information
The information collected is used for managing human resources, payroll, benefits, and related employment functions. The OptimalHR mobile application facilitates self-service functionalities by providing access to your employment-related information, enabling you to manage certain HR tasks.
3. Information Security
We are committed to securing and safeguarding your personal information. While we implement appropriate technical and organizational measures to protect data, no method of transmission over the internet or electronic storage is entirely secure. We cannot guarantee absolute security but take reasonable steps to protect your data.
4. Access and Control
As an employee, you may have the ability to view, update, or modify certain information within the OptimalHR mobile application. For assistance with accessing or modifying your personal information, please contact your employer or HR personnel.
5. Disclosure of Information
We do not sell, trade, or rent your personal information to third parties. However, we may disclose your information in specific circumstances, including:
- Compliance with legal obligations or government requests.
- Protection of the rights, property, or safety of OptimalHR, its users, or others.
6. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will notify you of any material changes by posting the updated Privacy Policy on the App or by other means of communication. Your continued use of the App after the effective date of the updated Privacy Policy constitutes your acceptance of the revised terms.
